Document Match & Load Closeout

POD Collection

Collects and files proof of delivery.

What it does

A signed POD is the document that flips a load from in-transit to billable, yet it arrives as a driver's photo, a carrier portal upload, an email attachment, or a scanned page, and it waits in a shared inbox until a rep recognizes it and files it. The POD Collection agent reads each one as it lands, identifies which delivered load it confirms, and attaches the proof to that load in the TMS as structured delivery evidence. Operations sees the load marked delivered with its signed proof on record and queued for closeout, without anyone opening attachments or guessing which shipment a photo belongs to.

When it runs

It watches your shared inboxes, communication channels, and carrier portals for incoming delivery confirmations and fires the moment a POD lands, capturing it as proof rather than leaving it as an unread attachment.

Impact

Because proof of delivery is what releases a load to billing, filing it on arrival keeps closeout and invoicing on their own clock instead of stalling behind unhandled paperwork, which shortens load-closeout-to-cash. The signed delivery record sits with the right load, timestamped from the moment it arrived, so a short-pay dispute or freight claim is answered with the actual evidence rather than a search. Reps stop triaging delivery photos and reconciling which load each belongs to, returning that time to active shipments.
